The table of contents (TOC) on the first three pages helps readers navigate the publication. Adobe InDesign provides a convenient function to automatically generate a table of contents. This saves you a great deal of work. In this InDesign tutorial, you will learn how to use this function and what requirements have to be met.<!--more--><\/p>\n<h2>Table of contents in Adobe InDesign<\/h2>\n<p>The more pages a catalogue or chapters a book has, the longer the table of contents will be. Manually entering the titles and page numbers in the table of contents is a very time-consuming task. To save you valuable time, InDesign provides the &#8220;Table of Contents&#8221; function to automatically generate a TOC based on paragraph formats.<\/p>\n<p><strong>Content<\/strong><\/p>\n<ul>\n<li><a href=\"#grundvoraussetzungen\">Basic requirements<\/a><\/li>\n<li>Table of contents&#8230;\n<ul>\n<li>&#8230; <a href=\"#inhaltsverzeichnis-erstellen\">generate<\/a><\/li>\n<li>&#8230; <a href=\"#inhaltsverzeichnis-formatieren\">format<\/a><\/li>\n<li>&#8230; <a href=\"#inhaltsverzeichnis-aktualisieren\">update<\/a><\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<p><a name=\"grundvoraussetzungen\"><\/a><\/p>\n<h2>Basic requirements<\/h2>\n<p>Two basic requirements are necessary for InDesign to include the desired content in the table of contents. Firstly, each page to be included in the table of contents must be in the same document as the TOC itself. So if you have a 60-page article, for example, your document will comprise all 60 pages. Secondly, the text must be properly formatted. We want the table of contents to include subheadings, too. Go to the\u00a0<span class=\"guideline\">Layout<\/span> menu and select\u00a0<span class=\"guideline\">Table of Contents<\/span>\u00a0to open the Table of Contents panel. This box is set to &#8220;Contents&#8221; by default. You can also leave this box empty as in our example since we already included the term &#8220;Table of Contents&#8221; in the layout on the corresponding page.<\/p>\n<p><a href=\"https:\/\/www.onlineprinters.ie\/magazine\/wp-content\/uploads\/2020\/02\/table-of-contents-options.jpg\"><img loading=\"lazy\" decoding=\"async\" class=\"td-modal-image aligncenter wp-image-22849 size-large\" src=\"https:\/\/www.onlineprinters.ie\/magazine\/wp-content\/uploads\/2020\/02\/table-of-contents-options.jpg\" alt=\"Screenshot of the InDesign Inhaltsverzeichnis settings panel in a design software, displaying options for TOC style, styles included in the table of contents, level selection, and various checkboxes for additional customization.\" width=\"696\" height=\"378\" \/><\/a><\/p>\n<h3>Formats in the table of contents<\/h3>\n<p>In the Style menu of the TOC, you can now select one of the paragraph styles defined previously by clicking the\u00a0<span class=\"guideline\">Add<\/span>\u00a0button to add them to the\u00a0<span class=\"guideline\">Include Paragraph Styles<\/span>\u00a0list. In this example, we first add the paragraph style for the heading and then for the subheading. As a result, all texts assigned the &#8220;heading&#8221; or &#8220;subheading&#8221; paragraph style will be included in the table of contents regardless of which pages they are on.<\/p>\n<p><a href=\"https:\/\/www.onlineprinters.ie\/magazine\/wp-content\/uploads\/2020\/02\/paragraph-style-options.jpg\"><img loading=\"lazy\" decoding=\"async\" class=\"td-modal-image aligncenter wp-image-22850 size-large\" src=\"https:\/\/www.onlineprinters.ie\/magazine\/wp-content\/uploads\/2020\/02\/paragraph-style-options.jpg\" alt=\"A screenshot of the InDesign Inhaltsverzeichnis settings window, displaying options for styling, adding or removing paragraph styles, and other features for generating a detailed table of contents.\" width=\"696\" height=\"378\" \/><\/a><\/p>\n<h3>Assigning a new style<\/h3>\n<p>The heading you want to add to the TOC is inserted in exactly the style specified by the &#8220;heading&#8221; paragraph style. The same applies to the subheading.<\/p>\n<h4>Paragraph styles<\/h4>\n<p>To improve the readability of the TOC, first click the heading paragraph style under\u00a0<span class=\"guideline\">Include Paragraph Styles<\/span>\u00a0and choose the paragraph style for formatting the heading in the\u00a0<span class=\"guideline\">Entry Style<\/span>\u00a0drop-down list box. In the example, we assign the &#8220;Subheading&#8221; paragraph style to the heading included in the table of contents and the &#8220;Text&#8221; paragraph style to the subheading included in the table. <span class=\"guideline\">Entry Style<\/span>\u00a0also lets you choose whether to display the page number before or after the text.<\/p>\n<p><a href=\"https:\/\/www.onlineprinters.ie\/magazine\/wp-content\/uploads\/2020\/02\/entry-style.jpg\"><img loading=\"lazy\" decoding=\"async\" class=\"td-modal-image aligncenter wp-image-22851 size-large\" src=\"https:\/\/www.onlineprinters.ie\/magazine\/wp-content\/uploads\/2020\/02\/entry-style.jpg\" alt=\"A table of contents page titled InDesign Inhaltsverzeichnis features a list of golf courses with page numbers on the left and a photo of a golfer swinging a club on the right, alongside a green box displaying the number 16.\" width=\"696\" height=\"378\" \/><\/a><\/p>\n<h4>Positioning the TOC<\/h4>\n<p>To position the TOC, confirm the dialog with\u00a0<span class=\"guideline\">OK<\/span>. You will then see that the table of contents is attached the mouse pointer. Click anywhere within your document to insert the TOC. If the paragraph styles have been set up properly, you should now see the subheadings listed together with the corresponding page number.<\/p>\n<p><a name=\"inhaltsverzeichnis-formatieren\"><\/a><\/p>\n<h2>Formatting the TOC<\/h2>\n<p>In the next step, we want to format the table of contents so that the text is aligned to the left and the page number to the right. We want to connect the two elements using a dotted line as is common practice for TOCs. First drag out the text frame which includes the table of contents to its final size and copy the value for the width of the text frame.<\/p>\n<h3>Heading: hiding the page number<\/h3>\n<p>Click\u00a0<span class=\"guideline\">Layout<\/span>\u00a0to open the\u00a0<span class=\"guideline\">Table of Contents<\/span> panel again and click the heading. The page number of the heading is not required. In the\u00a0<span class=\"guideline\">Page Number<\/span>\u00a0drop-down menu, therefore choose\u00a0<span class=\"guideline\">No Page Number<\/span>.<\/p>\n<p><a href=\"https:\/\/www.onlineprinters.ie\/magazine\/wp-content\/uploads\/2020\/02\/no-page-number.jpg\"><img loading=\"lazy\" decoding=\"async\" class=\"td-modal-image aligncenter wp-image-22852 size-large\" src=\"https:\/\/www.onlineprinters.ie\/magazine\/wp-content\/uploads\/2020\/02\/no-page-number.jpg\" alt=\"A screenshot of the InDesign Inhaltsverzeichnis dialog box in a desktop publishing program, showing options for TOC style, included paragraph styles, page number settings, and other formatting preferences.\" width=\"696\" height=\"378\" \/><\/a><\/p>\n<h3>Right-aligning the page number with leader dots<\/h3>\n<p>In the\u00a0<span class=\"guideline\">Table of Contents<\/span> panel, click your subheading, go to the\u00a0<span class=\"guideline\">Entry Style<\/span>\u00a0drop-down menu and choose\u00a0<span class=\"guideline\">New Paragraph Style<\/span>. Click the\u00a0<span class=\"guideline\">Indents and Spacing<\/span>\u00a0tab and define a\u00a0<span class=\"guideline\">Left Indent<\/span>\u00a0of 7\u00a0mm.<\/p>\n<p><a href=\"https:\/\/www.onlineprinters.ie\/magazine\/wp-content\/uploads\/2020\/02\/define-indent.jpg\"><img loading=\"lazy\" decoding=\"async\" class=\"td-modal-image aligncenter wp-image-22855 size-large\" src=\"https:\/\/www.onlineprinters.ie\/magazine\/wp-content\/uploads\/2020\/02\/define-indent.jpg\" alt=\"A screenshot of the New Paragraph Style settings in a software program, showing the Indents and Spacing section with various text alignment and spacing options for InDesign Inhaltsverzeichnis setup.\" width=\"696\" height=\"378\" \/><\/a><\/p>\n<h4>Using tabs<\/h4>\n<p>Click\u00a0<span class=\"guideline\">Tabs<\/span>\u00a0and choose the right-justified tab icon. Click anywhere within the displayed ruler to define your alignment point. Then select the value in the\u00a0<span class=\"guideline\">X<\/span>\u00a0box and replace it with the copied width value of your text frame (see image below). In our example, the value is 98\u00a0mm.<\/p>\n<h4>Inserting a leader<\/h4>\n<p>Under &#8220;Leader&#8221; you can now define what to display between the text and the page number. We want to insert a leading line that is not too narrow, so we add a space and a dot. This means that a space and a dot will be inserted alternately at the end of the text. This sequence will be repeated until the right-aligned page number is reached. Next confirm your settings with\u00a0<span class=\"guideline\">OK<\/span>.<\/p>\n<p><a href=\"https:\/\/www.onlineprinters.ie\/magazine\/wp-content\/uploads\/2020\/02\/insert-leader.jpg\"><img loading=\"lazy\" decoding=\"async\" class=\"td-modal-image aligncenter wp-image-22856 size-large\" src=\"https:\/\/www.onlineprinters.ie\/magazine\/wp-content\/uploads\/2020\/02\/insert-leader.jpg\" alt=\"A screenshot of the Tabs settings in the New Paragraph Style window of Adobe InDesign, showing tab stop controls, alignment options, and measurement units in millimeters\u2014essential for formatting your InDesign Inhaltsverzeichnis.\" width=\"696\" height=\"378\" \/><\/a><\/p>\n<h4>Right-aligning and inserting the tab<\/h4>\n<p>The\u00a0<span class=\"guideline\">Between Entry And Number<\/span>\u00a0box in the\u00a0<span class=\"guideline\">Table Of Contents<\/span>\u00a0panel contains a circumflex and a\u00a0t, ^t, by default which tells InDesign to insert a tab. But since we want the page number to be right-aligned, we delete the contents of this box, open the adjacent drop-down menu and choose <span class=\"guideline\">Right Indent Tab<\/span>. A circumflex and\u00a0<span class=\"guideline\">y<\/span>\u00a0should now appear in the field. To update it, select the text frame of the table of contents and click\u00a0<span class=\"guideline\">Layout<\/span>\u00a0and then\u00a0<span class=\"guideline\">Update Table Of Contents<\/span>.
